This webinar is designed for medical fitness professionals who want AI to make daily work easier. We’ll break down, in plain language, what AI is and how an “intent over clicks” approach can streamline the way your team onboards members, manages engagement, prevents drop-off, handles scheduling and billing, and reports outcomes.

Through concrete, real-world examples and live prompt-building, participants will learn how to ask AI for help in ways that produce usable drafts, scripts, and summaries without needing technical expertise. We’ll also cover clear guardrails for PHI, clinical boundaries, and human review, then close with a 60–90 day game plan so attendees leave knowing exactly where to start, how to involve their team, and how to measure early success.

Learning Objectives:
1. Identify key points in the member journey and daily operations where AI can support staff. Specific examples of AI supporting onboarding, ongoing engagement, lapsed member outreach, scheduling, billing follow-up, reporting, and staff training.

2. Compose effective AI prompts for common medical fitness use cases. Easy formulas and examples for how to talk to AI (prompts) to get useful outputs for emails, FAQs, scripts, checklists, and leadership summaries, even if you’re not tech-savvy.

3. Apply appropriate guardrails to AI usage in their organization. Guidance on how to use AI responsibly in a medical fitness environment: PHI/privacy boundaries, the line between clinical and operational use, and the “AI drafts; humans approve” standard.

Julie Polovick (left) began her fitness career right out of college, juggling personal training at a small Gold’s Gym in Wisconsin, coaching Division III track & field, and interning in the then-new world of medically integrated  fitness. She moved into a full-time role with Power Wellness in Illinois as a Fitness Specialist, Group Exercise Instructor, and Personal Trainer, and quickly advanced into leadership positions including Personal Training Manager, Fitness & Group Exercise Director, and Executive Director, guiding financial, operational, and organizational strategy across two facilities for nearly a decade. After an acquisition in 2017, she served as Member Services Manager at Life Time Flatirons in Broomfield, CO, before joining Club Automation in October 2021 as a Customer Service Advocate. Within eight months, she moved into the Sales Engineer role and later supported Professional Services as a Product Consultant, earning a peer-nominated Thrive Award (Q1 2023) and President’s Club honors three years running. She was promoted to Sales Engineer II in January 2024.

Caitlyn Armstrong (right) is a Technical Sales Engineer at Daxko, where she partners with health and wellness organizations to leverage technology in practical, strategic ways. Prior to joining Daxko, she built her career in the financial technology sector, supporting enterprise SaaS platforms that required high levels of data integrity, security, and operational precision. Today, Caitlyn focuses on helping medical fitness and wellness organizations adopt new technologies with clarity and confidence—streamlining operations, supporting staff, and enhancing the overall member experience.
